DOCUMENT OFFICER
 
Roles & Responsibilities
Maintain and organize all company documents according to established protocols.
Ensure accurate labeling, version control, and secure storage of documents.
Regularly review, update, and archive documents to comply with ISO standards and company policies.
Monitor document control processes to ensure compliance with ISO 9001, ISO 14001, ISO 45001 and other relevant ISO standards.
Conduct regular internal audits of documentation to identify areas of improvement and maintain quality standards.
Prepare and provide documentation for ISO audits and liaise with auditors as required.
Manage the document revision process, coordinating with department heads and document authors to ensure timely and accurate updates.
Oversee the approval and distribution of controlled documents to relevant departments and stakeholders
Ensure consistency and accuracy in documentation to meet compliance and quality requirements.
Identify opportunities to improve document control processes, increasing efficiency and reducing errors.
Assist in the development and implementation of document management procedures aligned with ISO standards.
Work closely with other departments to streamline document-related workflows.
Train employees on document control processes, tools, and ISO compliance requirements.
Serve as a point of contact for document-related inquiries, providing guidance on document management best practices.
Implement records retention policies, ensuring documents are securely stored and disposed of as per company and regulatory requirements.
Maintain confidentiality and data security for all controlled documents.
Qualifications:
Education: Bachelor's degree in Quality Management, Business Administration, or a related field.
Experience:
Minimum of 2 years of experience in document control, quality management, or a similar role.
Familiarity with ISO standards, especially ISO 9001, is preferred.
Skills:
Proficiency in document management systems and Microsoft Office Suite.
Strong organizational skills and keen attention to detail.
Excellent communication skills, with the ability to collaborate effectively across departments.
Analytical thinking and problem-solving abilities.
