Job Description:
Procurement Manager is responsible for for sourcing equipment, goods and services and managing of vendors/suppliers. Seek the best available quality for the lowest price, evaluates suppliers, negotiates contracts, and review product quality. Her job is to ensure that day-to-day operations run smoothly.
Duties and Responsibilities:
1. Develops, leads & executes purchasing strategies;
2. Tracks and reports key functional metrics to reduce expenses and improve effectiveness;
3. Negotiates clauses or provisions for stock returns involving expiring, expired, sub-standard qualify;
4. Negotiates terms for all suppliers: COD is not acceptable unless part of initial requirements;
5. Performs price watch or monitoring of key materials;
6. Assess, manage and mitigate risks;
7. Performs and consistently apply proper accreditation, of vendors;
8. Coordinates with Central Supply for quantities ordered and the timing of deliveries ;
9. Prepares and evaluates standard quarterly forecast and purchase commitments with suppliers;
10.Closely coordinates with all the concern departments relating to purchasing.
11.Records such as petty cash fund, purchase orders and cheque requisitions. Provides input into budget formulation.
12.Collects, researches, organizes and summarizes data from a variety of sources and produces reports such as program status and board reports.
13.Conducts regular meeting with the team members to discuss important matters affecting the department from minor to major issues and resolve it accordingly.
14.Monitors the performance of staff and provides feedback. Results of the performance discussion must be reported to the immediate head; Chief of Production & Human Resource Department;
15.Actively participates and accomplishes organizational, departmental and workgroup goals and objectives.
16.Maintains a folder of all suppliers esp. key accounts for monitoring and referencing;
17.Communicates potential stockouts of key materials, within reasonable timeframe;
18.Maintains three (3) active suppliers of key materials at all times;
19.Negoticates for minimum of 15days credit line or ideally 30 days; issuance of PDS is the least option;
20.Establishes and documents the profiles of each key ingredient or material and identify possible sources of where the stores can be procure them if the need so arises;
21.Suppliers and all negotiated terms therewith are kept confidential at all times;
22.Maintains a record of all historical purchases from key materials for documentation;
23.Performs other duties of a similar nature and level as assigned.
Qualifications:
With at least 3 years relevant experience
Graduate of any business related course
With good personality and strong negotiation skills
Has an existing strong connection and network with relevant business partners is a plus
Preferred experience from hospitality management or restaurant operations.
