Monday-Friday: 9:00 AM - 6:00 PM PST with 1 hour unpaid Lunch
Qualifications:
- Proven experience as an Executive Assistant or in a similar role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Excellent written and verbal communication skills
- Strong organizational and time management abilities, with the capacity to prioritize tasks efficiently, are crucial
- Meticulous attention to detail and adept problem-solving skills
- Ability to take the initiative and work independently with minimal supervision
- Maintain a professional demeanor and uphold confidentiality
- Strong and reliable task management skills
- Proficient proofreading skills to ensure document accuracy
- Familiarity with general accounting and HR practices is preferred but not required
- Knowledge of standard office procedures and equipment is advantageous.
- Accurate transcription of audio recordings
- Proficient clerical skills for organizing files, records, and documents
- Experience in event planning or coordination is considered a plus
Responsibilities:
- Provide high-level administrative assistance to executives, encompassing calendar management, meeting scheduling, task allocation, and travel arrangements
- Draft and revise correspondence, communications, presentations, and various documents
- Coordinate and oversee meetings, conferences, and events
- Record meeting minutes and distribute them to attendees
- Perform research and compile data for reports, presentations, and data entry tasks
- Provide support as necessary in bookkeeping, receipt management, invoicing, accounts receivable, hiring, payroll, accounts payable, taxes, and insurance.
